The City of Joshua’s Police Department invites qualified individual to apply the position of P/T Records Management Clerk being under general supervision to process various documents for storage, retrieval or destruction;  perform a wide variety of complex and confidential duties requiring analysis and attention to detail.

Essential Functions:

  1. Provide assistance in the transportation of boxed documents from storage, organize and number boxes; maintain inventory in storage
  2. Collect, sort, prepare and scan documents; label and enter documents into the computer system; prepare files and forward documents for recycling and/or shredding or destruction
  3. Maintain files of official recorded documents; file and label documents for permanent storage; communicate and coordinate needs with departments
  4. Ensure documents are archived and properly located; maintain confidentiality
  5. Serve as an alternate receptionist; operate a telephone
  6. Work on special projects, as assigned

Minimum Qualifications:

  1. High school diploma or GED
  2. Two (2) years demonstrable PC and data entry experience including advanced knowledge of the Microsoft Office Suite
  3. Prefer two (2) years experience in records.
  4. Possession of a valid Texas driver’s license

Knowledge of:

  1. City policies and procedures
  2. Specialized computer scanning software; Windows, Adobe, and email
  3. Record keeping and file maintenance principles and procedures
  4. Filing methods and recordkeeping
  5. Proper printer and scanner operation

Skill in:

  1. Providing efficient customer service and communicating clearly and objectively
  2. Organizing with the ability to prioritize work and exercise independent judgment and initiative
  3. Thoroughly carrying out oral and written instructions
  4. Defining problems; explaining technical problems; and establishing facts and drawing valid conclusions
  5. Interpreting and applying information from technical manuals
  6. Operating a personal computer and various software applications
  7. Maintaining organization and a clean work station
  8. Attention to detail; understanding and retaining legal data
  9. Proper sorting, preparing, and organizing original documents; moving and re-filing of original documents and boxes
  10. Providing accurate indexing entry for departmental records
  11. Communicating workflow status and providing workflow suggestions; meeting strict deadlines
  12. Working well in a team environment, establishing and maintaining effective working relationships with those contacted in the course of work, including City and other government officials, community groups, and the general public; and applying safe work practices.
